Read aloud on Mac and Windows: a practical guide

Hearing a text is often the quickest way through it. Both Mac and Windows can read aloud out of the box. Here is how, what to look for, and when a dedicated tool earns its place.

Why listening works

Reading silently asks the eyes to decode every word and the mind to hold the sentence while it does. Listening skips the decoding. The words arrive whole, and the mind is free for the meaning. Following along with the eyes at the same time keeps the place and ties sound to spelling.

This helps with long texts, with texts in a second language, and with checking your own writing. A sentence that sounds wrong usually is.

What a good read-aloud tool does

  • Marks the word being spoken, so the eye never loses the voice.
  • Starts within a second or two, not after the whole text has been processed.
  • Lets you change speed while it plays. A little faster than speech is often best.
  • Pauses and resumes with one key.
  • Sounds like a person. A natural voice is far less tiring over a long text.
  • Works on the text where it is, without copying it somewhere first.

Read aloud on a Mac

macOS has Spoken Content built in. Open System Settings, choose Accessibility, then Spoken Content, and turn on Speak selection. From then on, select any text and press Option and Escape together to hear it. In the same place you can pick a voice, set the speed and turn on word highlighting.

The built-in voices are fine for short pieces. Download the higher-quality voices for Swedish or English if you listen a lot; they sound noticeably more natural. The limits: no word marking in every app, and the voice cannot be changed mid-sentence.

Read aloud on Windows

Windows has two routes. Narrator reads the whole screen and is made for people who do not see it; it is powerful but talkative. For reading selected text, Immersive Reader in Edge and Word is the better fit: open a page in Edge, choose Read aloud from the toolbar, and the words are marked as they are spoken. Word has the same under Review.

The gap is everything outside Edge and Word: Outlook on the desktop, Teams, PDFs in other viewers, a form on a website in another browser. There you are back to copying text somewhere else.

In every app, with one shortcut

Zimplfy fills that gap. Select text in any app, press ⌃⌥R on Mac or Ctrl+Alt+R on Windows, and choose Read aloud. A small panel opens by the cursor. The voice starts within a couple of seconds and each word is marked in yellow as it is spoken. Space pauses, Esc stops, and three speeds are one click away.

Before

The landlord must give at least two months' written notice before the end of the tenancy. The deposit is returned within ten days of the final inspection, less any agreed deductions.

The voices are natural ones in Swedish and English. The language is detected from the text, so a Swedish letter is read in Swedish and an English email in English. Nothing has to be set.

Listen to the plain version instead

Sometimes the text is not worth hearing as written. A dense paragraph read aloud is still dense. Then ask for the plain version first and listen to that. In Zimplfy, choose Explain, and when the result appears, press Read aloud on it. The two steps take a few seconds together.

Before

Pursuant to clause 4.2, the subscription shall renew automatically for successive twelve-month periods unless terminated in writing not less than thirty days prior to the renewal date.

Settings that make listening easier

  • Read with the text in view. Marked words link the sound to the spelling.
  • Use a bigger text size while listening, so the marked word is easy to find.
  • Headphones in open offices. Not for privacy alone; they cut the effort of listening.
  • Short pieces. Select one paragraph or one email at a time rather than a whole document.
  • Turn Calm reading on in Zimplfy's settings to show results on a paper background.

On the web and on a phone

On a computer you cannot install on, or on a phone, the Zimplfy web reader at /read does the same thing. Paste the text, press Read aloud, and the words are marked as they are spoken. It needs no account. The free plan gives a daily voice allowance that covers everyday reading.
